Building an Exhibition Booth at KLCC
What exhibitors need to know before building a custom booth at the Kuala Lumpur Convention Centre: who is allowed to build, the height and structure rules, the paperwork, and a realistic timeline.
To build a custom booth at KLCC, use a contractor on the Centre's Accredited Supplier List, or have your own contractor approved by the show's official contractor. Submit your booth design for approval before the show manual deadline, keep within the show's height limit (commonly 5.5 m, with an engineer's endorsement above 4.9 m), and file your electrical, rigging and pass forms on time. Start planning about 12 weeks before build-up.
Official vs non-official contractors at KLCC
Every event with an exhibition component at KLCC must appoint an official main contractor from the Centre's Accredited Supplier List. That contractor builds the shell scheme, sets the build-up schedule and checks every custom booth design before it goes up.
As an exhibitor you have two routes:
Use an accredited contractor: The contractor already works inside KLCC's event guidelines, knows the loading bay and hall rules, and in many shows avoids the extra deposit charged to outside builders.
Bring your own builder: Allowed at most shows, but your builder registers as a non-official contractor. Expect a refundable performance bond, a non-refundable admin fee, design approval from the official contractor and a fixed move-in slot.
BCP is on KLCC's Accredited Supplier List, so we can act as the official contractor for an organiser or as the builder for an individual exhibitor. Read more about our KLCC accreditation.
Shell scheme or space only?
Your booth type decides most of your cost and effort.
Shell scheme
What you get: Modular walls, fascia name board, basic lighting, power point, table and chairs
Wall height: 2.5 m standard
Typical minimum: 9 m² (3 × 3 m)
Approvals: Fascia name form, graphics sizes
Best for: First-time or small exhibitors
Space only (custom)
What you get: Bare floor. You design and build everything
Wall height: Up to the show's limit
Typical minimum: Often 18 m² or more
Approvals: Full design appraisal, structural drawings, electrical and rigging forms
Best for: Brands that need to stand out or run demos
Nothing may be attached to a shell scheme structure without the official contractor's approval. Upgraded shell schemes (custom graphics, extra lighting, counters) sit in between and are a good middle option.
Height and structure rules
Heights are set by each show's exhibitor manual, so always check yours. These are the thresholds that come up most often at KLCC shows:
Above 2.5 m on a shell scheme booth, you need the official contractor's approval.
Above 4.9 m, many KLCC show manuals ask for technical drawings endorsed by a structural engineer.
Hanging structures (banners, truss, lighting rigs) need a rigging form and plot plan. Balloon rules vary a lot between shows, so ask before you design around them.
Double-deck booths need separate approval and lead time. Raise them in your first brief.
KLCC exhibition halls at a glance
Column-free exhibition space: 12,310 m²
Standalone marquee (Hall 6): ≈ 2,600 m²
Hall 5 size (L × W × H): 29.0 × 77.44 × 9.36 m
Hall 5 floor area: 2,245 m²
Hall 5 floor loading: 20 kN/m²
Halls 1 to 5 sit on the ground level and can be combined. Hall 6 connects through Hall 5. Figures are from KLCC's published technical specifications; confirm with your show manual for your hall.
Planning timeline for a custom booth
A working timeline we recommend for a space-only booth. Your show manual's deadlines override it.
12 weeks before: Confirm booth size, location and budget. Brief your contractor with goals, products and must-haves.
10 weeks before: Review 3D design options and lock the concept.
8 weeks before: Submit the booth design and drawings for appraisal. Structural endorsement if the booth goes above the threshold.
6 weeks before: File electrical connection, rigging, fascia name and contractor pass forms. Order AV and furniture.
4 weeks before: Send print-ready artwork (AI or hi-res PDF with Pantone or CMYK references).
2 weeks before: Fabrication and graphics production. Pre-build check where possible.
Build-up day: Install within your assigned slot, power on, final handover.
What drives your booth cost
There is no flat price for a KLCC booth. The biggest levers:
Floor space. Space-only rates are charged by the organiser per square metre. For example, IGEM lists space only at RM2,300 / m² with a 9 m² minimum.
Build method. Fully custom plywood joinery, reusable modular systems, or a mix. Reusing a structure across shows lowers the cost per event.
Height and structure. Tall walls, hanging signs and double decks add engineering and rigging costs.
Graphics and finishes. Backlit lightboxes, acrylic logos, LED and colour-matched paint.
Services. Electrical connection, AV, furniture, carpet and venue fees such as bonds and admin charges.
Timeline. Late changes and rush production cost more than early decisions.

Usually yes. Your contractor registers as a non-official contractor with the show's official contractor, gets the booth design approved, pays a refundable performance bond and an admin fee, and follows the assigned move-in schedule. Check your exhibitor manual for the exact terms.
-
It depends on the show. A common limit is 5.5 m, with structural engineer endorsement needed above 4.9 m. Shell scheme walls are 2.5 m as standard.
-
About 12 weeks before build-up for a custom booth. Design approvals and forms usually fall due 4 to 8 weeks before the show.
-
A contractor that has passed KLCC's pre-qualification and accreditation process. Organisers must pick their official main contractor from this list. BCP is one of them.
-
Shell scheme is a ready-made modular booth supplied through the organiser, with walls, fascia, lighting and basic furniture. Space only is bare floor where you build a custom booth to your own design.
-
Yes. BCP builds at venues across Malaysia, including World Trade Centre Kuala Lumpur, where we are also an official contractor.
